Last week, I posted instructions on configuring Gmail to be able to sync with Infor CRM SLX (here). This post is the second part that procedure, in which we use the web client to configure the CRM side of things to sync with Gmail. Once the Gmail steps from the previous post have been performed, and the values (Client ID, Secret ID (or Client Secret), and the redirect URI) are copied someplace convenient, you are ready to set up sync in Infor CRM.

The first thing you need to do in Infor CRM SLX is to use Application Architect to install the bundles needed to for Infor CRM Sync of Gmail (available from Infor in KB2329926, see here if you need a refresher on bundle installation). First install Infor CRM Gmail v1.4 VFS, then Infor CRM Gmail v1.2 Config. Then install the bundle that Infor provided for your particular version of Infor CRM SLX. For 9.4, this will be INFORCRM-33001_32945 on 9.4. (This file will be different for versions 9.3. and 9.2, be sure to use the correct one for your version of Infor CRM SLX.) After you have the bundles installed, do a full build, deploy all portals, and then reboot the server. On a production server you will definitely need to do this when you can schedule an outage.

Log in to the Infor CRM SLX web client as admin, and click Integrations at the bottom of the nav bar on the left. (You can skip this part if you have already set up SData sync for some other purpose.) Click on SData Sync Configuration. You need to build the Infor CRM Feed field, but do not type directly in this field, as it tends to mess up the formatting. Instead, fill in the rest of the fields, and it should be able to build the correct SData feed based on Server, Port, and Data Portal. Verify that you have the everything correct by clicking Test Link at the bottom.

You are now ready to configure Gmail sync. There are actually two different elements to configure, one to enable users to record email to history, and one to allow users to sync contacts, tasks, and calendar items between Infor CRM SLX and Google. If you only need one of these, you do not need to configure the other. Either of these are configured in the web client, under Integrations. To enable recording email to CRM, open the GoogleMail integration. In the detail area, enter the Client ID and Secret ID (Client Secret) you copied earlier from the Google console. Then go to the Options tab and enter the redirect URI you set in the Google console. This should be your company’s SLX client site, with /GoogleGetAuthorization.aspx specified at the end. You may need to configure other settings as well. Once that is done, save the Options tab, then enable GoogleMail and save the integration.

To enable users to sync contacts, tasks, and calendar items between Gmail and Infor CRM SLX, open the GoogleSync integration. As before, enter the Client ID and Secret ID (Client Secret) in the detail area, then go to the Options tab and enter that same redirect URI (all those being values you saved from the app in Google console). Configure any other options as needed, then save the Options, enable the integration, and save the integration.

You will also need click the Resources tab in this same area to specify which items will be synced in which direction. These setting will be applied the same for all users. For each of Contacts, Calendar Items, and Tasks; you can set whether that items in enabled to sync, whether it syncs in only one or both directions, and how resolves resolves conflicts. For that last category, you can choose to have the most recent change be the version that is retained, or choose to have CRM or Google always win conflicts. (Here, Google is referred to as Integration, so they can use the same language for other integrations that might exist.) There is also an Options tab that allows you to control such things has how long to keep sync history, and what file attachments to allow to be synced.

Now that sync has been enabled, the Infor CRM SLX admin will need to set up the users who be syncing. Logged on to the web client as admin, the users’ Gmail address needs to be added as their email, and they need to be granted the Integration Role if they have not already. Only users who have been set up this way will be able to sync with Gmail. It is recommended to start with a pilot group until you are sure everything is working properly. (Note you could also edit the user’s email address in the Administrator program.)

The rest of the steps are for the users who will be syncing to perform. In CRM, users who wish to sync Contacts will need to create an ad hoc group of the contacts they wish to be synced to Gmail, and then go to Tools > Options, select the General tab, and select that group as the Contact Sync Group.

Finally, the users must log into their Gmail account and Infor CRM SLX on a browser that will allow pop-ups, in order to authorize their accounts to sync with each other. In CRM, open the Tools menu and select Options. Go to the Authorize Services tab, and authorize the appropriate services. (If the user is not signed into their Google account, CRM will pop up a window asking for credentials.) Allow the access in Google, and then return to CRM. Under Configure Provider Token, the user must type their Gmail address into the User Email box. The service should then show as authorized.

In Gmail, the user must specify the items the wish to sync to CRM. For Contacts, they must add the Infor CRM Label to any Contact they wish to sync over to CRM (which will then be in the ad hoc Contact group they had previously set up in CRM). For Tasks, there will now be an Infor CRM task list under Google Tasks. Any Tasks created in this group will sync to CRM. These Infor CRM Contact and Task designations will only be available after the first sync cycle has completed. Note that, as of this post, only the first instance of a repeating Google Task will sync to CRM. (All calendar items will attempt to sync.)
